What to check before contacting support.

Getting started and sign-in

I can't sign in or verify my email
Use the password-reset option on the sign-in page, and check your spam or junk folder for verification messages. If your account is still unverified you can keep using this general help page in the meantime.
How do I set up my account?
Verify your email, then use the school access attached to your medical-school invitation. If your school isn't connected yet you can still create an account and register interest for them.
How do I reset my password?
Choose Forgot password on the sign-in page and follow the emailed link. Links are single-use and time-limited — if it expires, request a fresh one.

Your medical school and access

My university isn't connected yet
You can still create an account and explore PlacementFlow. From Explorer you can register interest for your medical school; school access is only activated after the school provides and approves the required setup details.
What is "school access", and how is it different from Explorer?
School access links you to your real, official records once your medical school has set you up. Explorer lets you try the app first — Explorer activity is kept separate from official school records.
My placement looks wrong or missing
Your official placement comes from the school allocation, not a profile choice. Open Site info to see the current block. If it's missing or wrong, contact the placement team rather than creating another placement yourself.

Records and sign-offs

What counts as an official record?
Completed sign-offs are official placement records and use the verified-assessor workflow. Conditions and skills progress is currently self-declared to help you set goals — it isn't an assessor sign-off.
How does a sign-off become official?
Complete every required, anonymised field and choose an eligible assessor on your placement. It becomes official only after that assessor signs from their own verified account.
The sign-off email didn't arrive, or can't be used
The emailed link is private to the verified assessor and must not be forwarded. If delivery fails the form stays a draft; choose another provisioned assessor, or ask the placement team for help.
Timetable or QR check-in problems
Scan the event QR code during its check-in window. If the code fails or the result looks wrong, use Report an issue on that event so the placement team can review it — don't create a second check-in.
I'm an assessor — how do I sign off a student?
When a student names you on a sign-off, you receive a private email link. Open it from your verified account, review the anonymised details and sign. The link is personal to you and must not be forwarded.
I'm a clinician or faculty member — where's my help?
Sign in and PlacementFlow takes you to the help area and workspace for your role, with the tools for registers, sign-offs and your students.

Safety and your data

What information should I avoid sharing?
Never enter patient names, NHS or hospital numbers, dates of birth, addresses, images or any identifying combination in profiles, messages or support reports. Use broad age bands and the minimum anonymised detail you need.
I think I entered something identifiable
Stop, and contact your placement team immediately so they can help you put it right.
Is messaging private?
Messages are for placement logistics only. Never include patient-identifiable information in a message — and never use it for clinical, safety or safeguarding emergencies.

Technical support

How do I report a technical problem?
For the in-app report, sign in so PlacementFlow can attach your account, page and device details. Students use the Contact technical support form in Student Help; other active school users are routed to their maintained help area. If you cannot sign in, email support@placementflow.co.uk.
Will the team reply, and how?
You'll get a reference number when a report is received. If the team replies, the response appears in PlacementFlow and may also be emailed to your verified address. The support inbox isn't continuously monitored.

For medical schools

How does a medical school connect to PlacementFlow?
A school provides and approves the required setup details; access for its students and staff is activated only after that's complete. Register your school's interest to start the conversation.
Who can see a student's records?
Official records are visible to the student and their school's authorised staff. Roles and access are assigned by the school, not chosen by users.
How do our students and staff join?
Once your school's setup is approved, students and staff join through school access tied to their invitations. Roles and access are assigned by the school, not chosen by users.
