Terms of Service

1. Acceptance of these terms

PlacementFlow is provided by PlacementFlow Limited (“we”, “us”), a company registered in England & Wales (company number 17142740), registered office 3 Long Lane, Formby, Liverpool, England, L37 3QQ. By creating an account or using the app, you agree to these Terms of Service and to our Privacy Policy. If you do not agree, do not use PlacementFlow.

2. Who can use PlacementFlow

PlacementFlow is an educational and administrative platform for medical students, clinicians, and authorised placement or quality-assurance staff. You must be at least 16 years old to create or use a PlacementFlow account. Users aged 16 or 17 may use the service where permitted by their medical programme or institution and must comply with any additional institutional requirements. You must provide accurate information about yourself.

3. Your account

Your account is personal to you. Keep your login credentials secure, do not share your account, and tell us promptly if you suspect unauthorised access. Roles and access are assigned by the platform or an authorised institution. You may access only the records and functions you are authorised to access, and must not attempt to obtain any other role or access.

4. Acceptable use

You agree not to:

• use PlacementFlow for anything unlawful, or in breach of your school’s or placement provider’s policies or your professional obligations;
• enter patient-identifiable information (see section 5);
• impersonate anyone, or falsify attendance, sign-offs, assessments or other records;
• attempt to access other users’ data, probe or circumvent security, or disrupt the service;
• upload malware, or content that is defamatory, harassing, discriminatory or otherwise inappropriate for a professional clinical-education setting;
• scrape, resell or misuse the service or its content.

5. Patient information

PlacementFlow is for educational record-keeping, not clinical documentation. You must not record any patient-identifiable information anywhere in the app, including patient names, NHS or hospital numbers, dates of birth, addresses or photographs. Logbook entries, reflections, messages and support reports must remain patient-anonymous. You are responsible for complying with the confidentiality and information-governance rules that apply to you.

6. Your content

You keep ownership of the content you create (such as reflections and messages). You grant us the licence needed to host, process and display that content in order to provide the service to you and the assessors and placement staff you work with. You are responsible for the accuracy and appropriateness of what you submit.

7. Placement records & assessments

Attendance, sign-offs and assessments create attributable educational records. Sign-offs and verification reflect actions taken by authorised assessors, and records may be reviewed by authorised institutional or placement staff for educational, administrative and quality-assurance purposes. You must not attempt to create, alter or forge these records.

8. Availability

We work to keep PlacementFlow available and reliable, but we provide it “as is” and cannot guarantee it will be uninterrupted or error-free. We may update, suspend or withdraw features, and perform maintenance, from time to time.

9. Intellectual property

PlacementFlow’s software, design and content are protected by intellectual-property law. We claim rights only in material we own or are authorised to use. Third-party content remains subject to its owners’ rights, licences and terms. These terms do not transfer intellectual property to you; you receive only a limited, revocable right to use the app as intended.

10. Suspension & termination

We may suspend or terminate your access if you breach these terms, or to protect the service or other users. You may stop using the app at any time; some records may be retained as described in the Privacy Policy.

11. Disclaimer & limitation of liability

PlacementFlow supports medical education and placement administration. It does not provide medical advice, diagnosis, treatment or clinical decision support, and must not be used or relied on for patient care. To the fullest extent permitted by law, PlacementFlow is provided “as is” and we exclude implied warranties. This does not affect your statutory rights as a consumer.

We are not liable for indirect or consequential loss, or for loss arising from your failure to follow the confidentiality and information-governance rules that apply to you. Our total liability to you in any 12-month period is limited to the greater of the amount you paid to use PlacementFlow in that period (which, for most students, is nothing) or £100. Nothing in these terms limits liability that cannot lawfully be limited — such as for death or personal injury caused by negligence, or for fraud.

Our Privacy Policy explains how we handle personal data and forms part of these terms.

13. Changes to these terms

We may update these terms from time to time. We will change the “last updated” date and, for material changes, notify you in the app or by email. Continuing to use PlacementFlow after a change means you accept the updated terms.

14. Governing law

These terms are governed by the laws of England & Wales, and the courts of England & Wales have exclusive jurisdiction, subject to any mandatory rights you have as a consumer.
